Who we are
HJT Heating Solutions is responsible for the personal information we collect through this website and in connection with your enquiries. You can contact us about your information by emailing info@hjtheatingsolutions.co.uk or calling 07758 438555.
Information we collect
When you use our enquiry form, we collect your name, email address, selected service and message. You may also choose to provide a phone number and postcode. If you contact us by phone or email, we receive the information you share with us and any correspondence needed to deal with your enquiry.
Our hosting provider may process technical information, including your IP address, browser information and request logs, to deliver the website, manage submissions and protect the service against misuse. We do not use this website to collect payment details.
How and why we use your information
- Enquiries and quotes: to answer your questions, understand the work you need and prepare a quote. Where you ask us to take steps towards providing a service, we use your information on the basis of those steps before a contract.
- Agreed work: to arrange and provide services you have requested, on the basis of performing our contract with you.
- General correspondence and website security: for our legitimate interests in responding to messages and keeping our website and communications operating safely.
- Required records: where we need to retain information to meet a legal obligation.
The required form fields help us understand and respond to your enquiry. Without suitable contact details or a description of the work, we may be unable to help. We do not add you to a marketing mailing list when you send an enquiry.
Services that handle your information
We use Krystal to host this WordPress website and store contact-form enquiries. Enquiry notifications are sent to info@hjtheatingsolutions.co.uk and are processed by the email providers used to send and receive them. Only authorised website administrators can view the enquiries stored in WordPress.
Read the Krystal privacy policy, or contact us for information about the providers and safeguards relevant to your enquiry.
We may also disclose information where we are required to do so by law. We do not sell your personal information.
How long we keep information
Copies of enquiries stored in WordPress are automatically deleted after 90 days when the website’s scheduled maintenance runs. Enquiry notifications and business records held in email are managed separately under the retention purposes below. Backups may retain earlier copies until those backups expire.
We keep enquiry information for as long as it is needed to respond, provide any quote you request and deal with related follow-up. Where an enquiry leads to work, the retention period also takes account of the service provided, record-keeping obligations and any relevant complaint or dispute. We consider these purposes when deciding when information can be deleted, rather than retaining every enquiry indefinitely.
Your rights
Depending on the circumstances, you can ask us for a copy of your personal information, to correct it, to delete it, to restrict its use or to provide it in a portable format. These rights are subject to the conditions in data protection law.
You have the right to object to our use of your information where we rely on legitimate interests. Contact us using the details above to make a request or raise a concern.
You can also complain to the Information Commissioner’s Office. Visit the ICO’s complaints page for information about raising a data protection complaint.
Cookies and similar storage
This website does not use analytics cookies, advertising cookies or tracking pixels. Our fonts and images are served with the website. Social media links take you to the relevant service; we do not embed social feeds or third-party maps.
When you acknowledge our cookie notice, we save a small record in your browser’s local storage to remember that choice for six months. It contains the acknowledgement and its expiry, rather than your name or contact details. We use it only to avoid repeatedly displaying the notice. After it expires, the notice is shown again.
You can reopen the notice using the cookie notice control in the footer. You can also clear this stored record through your browser’s site-data settings. If storage is blocked or cleared, the notice may appear again; the website and contact form remain available.
If the enquiry form needs you to correct a field, a strictly necessary, short-lived cookie allows us to show your entered details again. The cookie contains only a random reference; the temporary form details are held on the server for up to ten minutes. WordPress also uses essential login cookies for administrators.
Links to other websites
When you follow a link to another website, including Facebook or Instagram, that service’s own privacy and cookie information applies. Their cookies are not controlled by this website.
Changes to this policy
We update this policy when our website or handling of personal information changes. The date at the top shows when it was last updated.
